CLIENT DELIVERY OPERATIONS

Client Operations Kit

Know what the work is really costing.

Keep estimates, approved scope changes, actual costs and remaining effort in one local project. See when extra work is unpaid, when a budget is slipping and what remains after valuing your time. Prepare a client-facing proposal or handoff without exposing your internal cost records.

Free: ten workstreams, ten records each, local project saves and report exports. No account or upload.

01 The whole client workflow

01

Scope and estimate

Prioritize entered requests. Build a cost scenario from labor, materials, other costs, contingency and markup. Cent rounding is explicit; markup is not mislabeled as profit.

02

Plan delivery

Calculate dependency-only calendar dates and compare entered workload with reserved capacity. See shortfalls and dates beyond your target before committing.

03

Record the handoff

Review invoice balances and renewal notice dates. Keep deliverable status, reviewer, review date and acceptance references with the same project.

02 Costs you can inspect

Illustrative estimate, not a client result or a promise of profit
Entered assumption or calculationAmount
20 hours × $60 labor cost, plus $100 other costs$1,300 direct cost
10% contingency on direct cost$130 reserve
25% markup on $1,430 reserved cost$357.50 markup
Estimated quote before unentered taxes$1,787.50

A 25% markup is a 20% margin on this reserved-cost scenario, not proven profit. Add all applicable taxes and third-party costs before issuing a quote. The application does not send quotes or establish a contract.

03 Is the offer worth delivering?

01

Price the full workload

Enter payment fees, refund reserves, direct costs, fixed overhead and one-time setup. Value unpaid owner time separately so cash left over is not confused with economic surplus.

02

Compare alternatives

Clone a scenario to change price, volume or delivery effort. See recurring break-even volume and conservative target prices for your entered margin. Alternatives are never summed into imaginary revenue.

03

Keep the reasoning

Inspect the cost breakdown and retain your assumptions reference. Export the entire ledger, original inputs and integrity receipts. Existing 1.0 project files open without losing their records.

Planning calculations, not demand forecasts or guaranteed profit. One charge per unit; unentered taxes, financing and chargebacks are excluded. Setup costs are separate from recurring targets. No tax liability is inferred.

04 From internal plan to client document

01

Prepare a scoped proposal

Keep client-facing scope, exclusions and review criteria separate from internal notes. Include the proposed fee and estimated delivery dates without publishing your costs or markup.

02

Make payment stages add up

Split the proposed fee across up to twelve stages. Enter shares and optional dates; exact cent allocation keeps the total intact. No invoice or charge is created.

03

Hand over a clear record

Prepare a delivery handoff with the recorded status of each deliverable. Export a standalone HTML document, client-only hash receipt or use the print/PDF layout. No automatic sending.

Client outputs omit private workflow fields from automatic sections. Review your own entered text before sharing. Internal reports remain a separate export containing the full private project.

05 Keep scope and cost connected

01

Record each scope decision

Add fee, cash-budget and unpaid-hour adjustments, including credits. Only changes recorded as approved adjust your baseline. Proposed fees remain visible but excluded.

02

Forecast the whole delivery

Separate cash paid, unpaid commitments and other costs to finish. Track unpaid owner hours separately. Inspect forecast cash contribution, economic surplus and margins without counting your time twice.

03

Spot work without an agreed fee

Link work to its change reference. Proposed, rejected and missing-reference changes keep their costs in the forecast without inventing revenue. Review this exposure alongside budget overruns.

Illustrative delivery forecast, not customer revenue or achieved profit
Entered basis or calculationAmount
$1,800 baseline fee + $400 approved scope change$2,200 revised fee
$125 paid + $50 committed + $75 other costs to finish$250 forecast cash cost
Revised fee less forecast cash cost$1,950 cash contribution
25 unpaid owner hours valued at $60 per hour$1,500 time value
Forecast after cash costs and unpaid time$450 economic surplus

The example excludes a proposed $600 fee and flags two unpaid hours tied to that unapproved change. These are entered assumptions. No contract acceptance, payment, earned revenue or tax liability is inferred.

Local records

No uploads, cloud storage or AI interpretation. Save your own files explicitly; there is no autosave. Imported project JSON is limited to 2 MB, exported ZIPs to 5 MB.

Your dates and assumptions

Plans use calendar days, not staffing availability or holidays. Renewal dates and notice periods come from your entered terms, not a contract database.

Recorded acceptance

An accepted deliverable needs an entered reviewer, date and evidence reference. A reference is not fetched or independently authenticated.

Not an accounting or messaging service

No customer emails, bank reconciliation, payments, signed agreements, scheduled alerts, compliance certification or future versions are included.
