Design document automation around exceptions and evidence

A document workflow is more than extracting text. It must identify the input, map the fields, validate the result and decide what happens when the document is incomplete or contradictory.

Use deterministic checks where rules are known. Add model-based extraction or classification only where it solves a real ambiguity, with evidence and an explicit review path.

Define the authoritative record

Specify required fields, types, units and allowed values. Keep a reference to the source document and the processing version. A normalized record should not silently replace the original evidence or lose the distinction between an observed field and an inferred value.

Decide how revisions and duplicates are handled. A duplicate invoice, a corrected form and a new version of an existing document are different events. Stable identifiers and idempotent writes prevent repeated processing from creating repeated business actions.

Make exception handling part of the product

Examples such as missing totals, unreadable pages, conflicting identifiers or unfamiliar formats belong in the initial test set. Decide whether each is rejected, queued for review or allowed through with a documented warning.

Measure the total effort per case, including review and correction. A fast extraction step is not a useful saving if a reviewer must reconstruct every result. Avoid using a model's self-reported confidence as a substitute for validated field accuracy.

Connect only after the output is useful

Begin with a reviewable export when the destination system is not yet agreed. Define the destination's ownership, schema and permissions before enabling production writes. Validate rejected records and retries as deliberately as successful imports.

For a commissioned workflow, acceptance should include the difficult cases, the evidence retained and the business handoff. A planning starter is not a claim that a client's accounting or operational system is already connected.

Use the free checks independently, buy a named product when it fits, or commission the part that needs connecting. An estimate is not a quote or a customer result.
